Cheryl's Quick Tip - 3 Tips for Successful Email Communication
Email is great, it's highly efficient and can be done at our convenience. However it can also cause miscommunication, wasted time and can create unnecessary conflict if not used with care. Here are 3 tips to ensure e-mail remains effective for everyone:
1. First of all READ the email - we are all so busy multi-tasking that in our distraction and haste we will scan our messages and then in our desire to get it out of our inbox we quickly type a response and press SEND thinking, "Ahhh got one down and only a hundred to go….." This wastes time and makes us look like a fool to the person who sent the original email (and anyone else cc'd on the message).
2. Next, PRIORITIZE your emails - deal with the ones that have quick and easy responses and for the more detailed emails manage the expectations of the sender. For example if someone sends you a request for something that you know is going to take time to investigate then manage theirs and your time by providing a response time such as, "Got your email and I want to ensure I have all the info and facts needed before responding- will get back by early tomorrow". This lets the other person know you got the email and when to expect a response.
3. Lastly, BREATHE when you receive emails that make you just want to scream. Do not respond when feeling irritated, frustrated or just plain cranky. Tone is difficult to decipher in email and if we reply when in a bad mood- trust me it will come across sharp and could unintentionally create conflict. For those emails put them in a folder with an apt name such , "Back At Ya Later" and respond to them when calmer.
